School Programmes Terms & Conditions

Minimum Class Numbers
All school programme bookings are charged per child, with a minimum booking requirement of 14 students per session. By confirming a booking, schools agree to pay for the minimum number regardless of actual attendance.

Maximum Class Numbers
The maximum capacity per session is based on year group(s) as follows:

  • Years 0–3 — max 28 students 
  • Years 4–6 — max 32 students
  • Years 7–8 — max 35 students
Parent Helper:Student Ratios
The following parent helper:student ratios are a minimum requirement:
  • Years 0–2 — 1:6
  • Years 3–4 — 1:10
  • Years 5–6 — 1:15
  • Years 7–8 — 1:30
Total maximum capacity, including students, teacher(s), and parent helper(s) is 37 per session, meaning you can bring more parent helpers, as long as the total number of students plus teacher(s) plus parent helper(s) does not exceed 37 in total (e.g. Years 0–3 can have max 28 students plus max 9 teachers and parent helpers).  
If you are a home or correspondence school we will discuss these maximum numbers and ratios at time of booking.

Maximum Bus Numbers
A maximum of 65 people (including students, teachers, and parent helpers) may be transported on the complimentary bus. Any additional attendees will need to arrange their own transport.

Attendance
If fewer students attend than the number booked, no refund or credit will be provided for students who do not attend. 
If additional students attend than the number booked, charges will be applied accordingly.

Amendments
Requests to amend a booking (e.g. number of students attending or date of booking) must be made in writing to education@artgallery.org.nz, 14-days in advance of booked date, and are subject to availability. 

Cancellations
If a booking is cancelled for any reason* by the school:

  • More than 28-days from booked date, a full refund will be issued

  • Within 28-days of booked date, no refund will ordinarily be issued for cancellations. 

If a booking is cancelled for any reason* by the gallery:

  • More than 24-hours from booked date, an alternative date will be offered if available, otherwise full refund will be issued

  • Within 24-hours or less from booked date, a full refund will be issued

*This includes cancellations due to illness, staffing changes, transport issues, weather, or unforeseen circumstances.

Payment Terms
Schools will be invoiced at the end of the month in which the visit takes place. Payment is due by the 20th of the following month. Non-payment may result in future bookings being declined.

For homeschool bookings, an invoice will be provided at the time of booking for minimum 14 children. Full payment of this invoice is required prior to the date of gallery tour or it may be cancelled.

Acceptance of Terms
By confirming a booking, schools acknowledge they have read, understood, and agreed to these Terms and Conditions.
